PowerSchool/SRB/TSC/atrieveERP

Some clients have no need for PowerSchool's help and can simply run off the report: A/P INVOICE REPORT - VENDOR NUMBER - ALL INVOICES

This creates a print image file, which we can work with easily. We also need a Chart of Accounts

Here are the detailed step by step instructions, your steps may vary:

Two Reports: All Invoices Report & Detailed Chart of Accounts

1. All Invoices Report - Note, please ensure that the user running this report has access to all batch types. Batch type security has been added to the Invoice Report. ’ If ‘Valid Batch Type’ security has been setup in the user’s LOGIN.COM, this security will only allow access to view batch reports for the valid batch types defined.

Finance Invoicing -> Invoice Reports Menu -> Report Name: All Invoices Report, Report Option: By Vendor & Invoice Number -> Go -> Enter Periods -> Run

2. Detailed Chart of Accounts:

General Ledger -> Detailed Chart of Accounts -> Starting GL Account: 00-000-000-000-000, Ending GL Account: 99-999-999-999-999 -> Run -> Save as Text

Older Instructions

  1. Go to: Finance Invoicing
  2. Report Name: All invoices Report
  3. Report Option: By Vendor & Invoice Number
  4. Set Print options to On-line and Output to Screen
  5. Starting Vendor # and Ending Vendor # - use default
  6. From Period: start of review (This is generally 4-5 years back)
  7. To Period: end of review (Current)
  8. (System can handle multiple years and large quantity of data - for example 201302 to 201703, but if problems, break into periods)

  9. Choose default for all other queries except:
  10. Print Journal Information: change to Yes
  11. Selection Criteria Quick 01 01 fund 1 to 6

There will be a delay while the system generates report.

Save to Disc

No need to convert the file, we can work with it as is.

We also need to see a Chart of Accounts with this report (this may be in Excel, PDF or LST)

  1. Go to: Invoice Entry
  2. Voucher Reports Menu
  3. Report All Invoices - by Vendor/Invoice Number (1.2)
  4. Set Print options to On-line and Output to Screen
  5. Starting Vendor # and Ending Vendor # - use default
  6. From Period: start of review (This is generally 4-5 years back)
  7. To Period: end of review (Current)
  8. (System can handle multiple years and large quantity of data - for example 201302 to 201703, but if problems, break into periods)

  9. Choose default for all other queries except: Print Journal Information: change to Yes
  10. There will be a delay while the system generates report.

  11. Then you will be given message: How do you want to open this report - choose Report Viewer. Review on the screen.
  12. Exit.
  13. Report viewer: Use Report Start Date and Report End Date of today.
  14. Find the number of the report you just generated, and record. For example: 105KPO.LST
  15. Use Filezilla to transfer this file from SRB to your S drive: AP files. The file you are moving will be listed as 105KPO.LST;1, with File Type LST File. (File size will be large.)
  16. You will be clicking on the file on the right, under and file will be transferred to S drive\Finance\Business\Accounting\Accounts Payable\year end (for example)

We also need to see a Chart of Accounts with this report (this may be in Excel, PDF or LST)
